Zoom - Join Before Host with Time Limits

Follow
Chris Menard

Zoom 5.4.0, released on October 26, 2020, now allows hosts to schedule meetings with Join Before Host with time limits. Now you can prevent participants from joining your meeting 2 hours before it starts! The host can allow participants to join 5, 10, or 15 minutes before the scheduled start time. The ability to join at any time is still available. The time limit feature is a great new feature. I've had participants join my meeting days before it starts. Regardless of the time limit you set, you still get notified by email that someone joined your meeting. I've always like that feature.

The Join before host feature allows attendees to join the meeting before the host joins. This is also a great feature to have when the host cannot attend the meeting.

Chris Menard recommendations:
1) Internal meeting with people you know, a department meeting, for example, turn on Join before host.
2) A meeting with a customer you frequently meet with, and you have people from your company and their company in the meeting, turn on Join before host.
3) Meeting with people that do not know each other, do not use Join before host.

If you do not select join before host, the participants will see a popup dialog that says "The meeting is waiting for the host to join."

Waiting Room and Join before host
*****************************
If Waiting Room is turned on in your meeting settings, Join Before Host does not work for your meetings. The Wating Room overrides Join before host. This means that you need to make sure the Waiting Room is turned off if you want people to Join before host. There is a feature to allow certain people to bypass the Waiting Room, but you have to set that up.

Allow participants to join before host setting in Zoom
*****************************
1) Sign in to the Zoom web portal.
2) In the navigation menu, click Settings.
3) In the Meeting tab, verify that Join before host is enabled. By default it is off.
If the setting is disabled, click the toggle to enable it. If a verification dialog displays, choose Turn On to verify the change.
* Note: If the option is grayed out, it has been locked at either the Group or Account level, and you will need to contact your Zoom administrator.
